Terms & Conditions

Please read the following Rules & Regulations carefully. By registering for the Samelan, participants and where applicable their parents or guardians agree to comply with these conditions.

Important: Decisions made by the Samelan Organising Committee regarding participation, conduct, discipline and the implementation of these Rules & Regulations are final.
Participant Guidelines

Rules & Regulations

  • Participants are expected to participate for the entire duration of the Samelan.
  • Participants must attend all scheduled sessions and programmes punctually.
  • Participants must wear a turban, keski or dupatta over their heads where required. Handkerchiefs, scarves and bandannas are not accepted as appropriate head coverings.
  • Smoking, alcohol, fireworks, abusive language, laser pointers and any item or behaviour that may endanger the wellbeing of other participants are strictly prohibited.
  • Participants are required to bring their own bedding. Sleeping arrangements are organised according to allocated Jathas, therefore sharing of bedding may not be possible.
  • Official sleeping and waking times must be observed. Bathing after 10:00 PM is not permitted except where required for the designated Jatha on duty.
  • Participants must remain appropriately dressed throughout the Samelan, including the first and final day.
  • Non-compliance with the Rules & Regulations, inappropriate conduct or indiscipline may result in participation being revoked.
  • Samelan Sewadars are present to assist participants and help maintain the wellbeing and discipline of the Samelan.
  • Additional Rules & Regulations may be announced during the Samelan briefing or whenever considered necessary by the Organising Committee.
Dress Code

Appropriate Attire

Participants are expected to dress respectfully and appropriately throughout the Samelan.

Samelan Dress Code

Male Participants

Caps or hats, earrings, torn jeans or pants and singlets are strictly not allowed. Bermuda-style knee-length shorts are permitted.

Female Participants

Sleeveless attire, torn jeans or pants, sheer or see-through clothing and shorts are strictly not allowed.

Health & Safety

Medical Assistance & Medication

  • If you experience any difficulty or require medical attention, inform your Jatha Leader, Jathedar or a Samelan Sewadar immediately.
  • Participants requiring medical assistance may visit the designated Medical Bay or Samelan Secretariat.
  • Participants who require regular medication must bring a sufficient supply for the entire duration of the Samelan.
  • All medication should be clearly labelled. Participants are encouraged to prepare a list of medications taken regularly.
  • The Secretariat must be informed in advance of serious or life-threatening medical or food allergies.
Examples of medication may include prescribed antibiotics, inhalers, antihistamines, insulin or other medication required throughout the Samelan.
Participation

Safety & Responsibility

  • Every reasonable effort will be made by the organisers to maintain a safe and supportive environment for participants.
  • Participation in the Samelan is voluntary. Participants and their parents or guardians acknowledge the inherent risks associated with participation in organised activities.
  • Participants are expected to follow instructions given by Sewadars, Jatha Leaders and the Organising Committee at all times.

Participant Declaration

  • I undertake to abide by the Rules & Regulations of the Annual Gurmat Parchaar Samelan.
  • I understand that decisions made by the Organising Committee regarding the administration and conduct of the Samelan are final.
  • I understand that my participation may be revoked if my conduct, attitude or dress is found to be inappropriate or inconsistent with the Samelan Rules & Regulations.
Parent / Guardian

Parent & Guardian Consent

  • I give my consent and permission for my child or person under my guardianship to participate in the Annual Gurmat Parchaar Samelan.
  • I acknowledge the Rules & Regulations governing participation and agree that the participant under my care will comply with them.
  • Children aged 6 years and below must be accompanied by a parent or guardian.
Sewadar

Sewadar Conditions

  • The minimum age to serve as a Sewadar is 21 years old.
  • Those aged 18–20 years may apply under the Sewadar Apprentice category.
  • Sewadars are required to attend Selami, Darbar programmes and all other programmes, briefings and activities designated for Sewadars.
  • Sewadars are expected to uphold appropriate conduct, attitude and dress throughout the Samelan.
  • If a Sewadar's conduct, attitude or dress is considered unsuitable, their participation may be revoked. Decisions of the Organising Committee are final.
  • Reporting dates, times and other arrangements for Samelan 2026 will be communicated to registered Sewadars separately.
By completing a Samelan registration, participants and, where applicable, their parent or guardian acknowledge that they have read and understood these Terms & Conditions and agree to comply with the Samelan Rules & Regulations.
